A clear first sentence for the provider
“My __________________ (brand/model) started ____________________________ on ____________. It happens during __________________. The exact code or warning is __________________. I have stopped using it because / I have not noticed these safety warnings: ____________________________.”
First, write down what changed
Try to describe what the appliance does now, not what you think is broken. For example, “the washer fills but stops before spinning” gives a provider more useful information than “the motor is dead.”
A strong first description often answers five questions:
- Which appliance is affected?
- What is the brand and model?
- What does it do or fail to do?
- When did the behaviour begin?
- Is there a fault code, leak, smell, or unusual sound?
Find the model number without taking anything apart
The model and serial label is often inside a door, around a door frame, behind a drawer, or on the back of the appliance. Only look where the label is visible without removing panels or moving a heavy appliance into an unsafe position.
A clear photo of the full label is usually better than typing a long model number from memory. Keep the photo ready when a provider contacts you.
Make only simple, safe checks
Before requesting repair, you can confirm a few basics without attempting a diagnosis:
- Check whether the appliance has power and whether its display is on.
- Confirm that a door or lid is fully closed and nothing is blocking the latch.
- Look for a visible fault code and photograph it before restarting anything.
- Check whether the problem affects one appliance or several outlets or fixtures.
- For a refrigerator, note whether both the fresh-food and freezer sections are affected.
- For a washer or dishwasher, note where the water appears and whether it continues spreading.

Appliance-specific details that help
Refrigerator or freezer

Washer

A written description cannot confirm the failed part, final repair cost, or whether replacement makes more sense. An independent provider may need to ask follow-up questions, inspect the appliance, and check part availability before giving you a reliable answer.
